Installation - QuickBooks, QB Point of Sale, Intuit Payroll
All versions of QuickBooks are designed to be simple and easy to use. And for the most part, that is true. However the program can be intimidating to setup. We find that the majority of client training needs are in the initial setup. Once a client understands what QuickBooks is asking for, the program is simple and easy to maintain. Depending on the length and complexity of the business, we will solve the vast majority of the setup issues within 4 hours.
Data Conversion
If your company is working on an older system, data conversion is intimidating. Older systems are not designed to give you access to your data, so starting over with a new system can be difficult. However, If you can export your data into an electronic format, then it is possible to import your data directly into your version of QuickBooks. Company File Creation
This step is critical in any successful implementation. Before the file is created, ask yourself:
- “What kind of data and reporting do I want from this system?”
- “Who is going to need to review reports?”
- “What are the drivers of my business that I will need to understand?”

Payroll Setup and Training
Payroll is one of the least understood and most complex parts of running any business. It involves several governmental authorities who charge hefty penalties if you make a mistake. Whole industries have been created to make the payroll process easier (for a price). With some time and concentration, the payroll can be reduced to a series of simple steps.
The QuickBooks payroll module (sold separately) is elegant in its simplicity. It holds great power, in that job costing is a snap, but is relatively easy to use (once you get use to it.)
For those of you who have stopped reading, Intuit has a complete payroll system called “Assisted Payroll” which will pay the payroll taxes and file all returns. The fees are determined by the number of payrolls in one month and the number of employees. For those of you who want to save some money and don’t mind doing a few extra steps, the enhanced payroll may work for you.
We setup numerous enhanced and assisted payroll setups each year. Most setups take between 3-5 hours to complete. This includes the initial setup along with the necessary training of all payroll staff involved.
Point of Sale Installation
Intuit really did something right when they created the Point of Sale system. The program is well designed and well executed. But in order to obtain all the benefits of the system, it is important to install and setup the system properly. Some people will say that you’ll need to pay someone upwards of 20 hours to install, setup and train the employees on a point of sale system. Depending on the skill level of the client, I have found that I can cut that time substantially. My main goal in working with clients is to put their needs first. So if they want us to complete all the steps, then I am happy to do so. Often I find that my clients want to work in installations in phases. This means that I will do the initial work to setup the system and convert the data (sometimes clients can convert their own data if they have the time and interest to do so).
Phase I
- Install QuickBooks financial and QuickBooks Point of Sale
- Convert the data into Point of Sale (either from QuickBooks financial or other source) including customers, vendors and items.
- Understand the business needs and set all preferences correctly
- Run some sample transactions
- Review reporting needs
Phase II Connect to QuickBooks financial
- Configure the connection
- Understand what data will be synchronizing (such as customer data and inventory bills to be paid)
- Synchronize the systems and look for issues
- Reconcile major accounts to look for issues
Phase II Connect to other stores (such as a webstore)
Many retailers will have more than one physical location. Other retailers will open a webstore in addition to a store front. If this is the case, then it is time to upgrade to QuickBooks Point of Sale Multi-Store
- Configure and setup the home store
- Create the synchronization method to the other stores
- Create and configure the remote store
